Email Overload!

Hi people,

I have been seeing a lot of talk lately about too much email being received on your mailbox and the inability to cope with it all.

Well, speaking for myself I too was confronted with this issue some time back and I spent some time in devising a system for myself, I use Gmail…

Check a screenshot of what I have done, below:

For each of the emails received under a specific Topic I created a mail rule to automatically store the message in the specified folder thus skipping the INBOX.

You may ask why I did this, well, allow me to explain.

Since receiving so many emails on a daily basis, like you I was being “snowed under” with the volumes thus when you have a complex problem to resolve it has been my experience to break it down into smaller, manageable chunks to be able to address each issue more efficiently.

Now, when I check my Wealthy Affiliates folder everything is nicely sorted.

On my daily routine, I check if I have received any followers for the day and go that folder and spend some time to reply to my followers.

Once I replied to all my new followers, I get back to the Followers folder, select them all and drag them to the P_Followers folder for archival purposes, the "P_" stands for processed.

I take this approach on all folders and find it the email management is now much more streamlined and manageable.

Please note that not all folders require daily intervention, some only need to be looked at once a week or even once a month.

I hope that you find this post useful to you and wish you a great and productive weekend.

Not really paid emails. sorry. I receive a lot from safelists but it just mixes in with my other things. I guess I could avoid this by having just an address for safelists. Look at that, I solved my own problem. What a genius! lol

Well,
I am glad that you managed to sort out your issue however the underlying purpose for this exercise was to break down a large chunk of emails into smaller, more manageable chunks so that you can tackle one smaller chunk at the time and possibly finish it and then can move on to the next chunk or at least have a sense of achievement for being able to tackle 1 task out of several.

Within the Safelists you mentioned you could have a rule for each safelist if you so wish by discriminating the sender and create the corresponding rule.

How can I make a rule in gmail that will sort the paid emails? from the others.

Hi Kbkbooks,

Paid emails?

What exactly do you mean?

Do you know who sent them to you?

It is always from the same source or different sources?

Does it contain specific text on the subject of the email received?

Once you provide me with a solid example, I can help you create the rule you need.

I like this idea... Not necessarily because I feel like I'm being swamped, but because I'm easily distracted.

If I submit a blog post or start a discussion, I am constantly checking my emails to see if I got a response and will spend an entire hour responding to comments as they come in.

However, if they bypass my inbox entirely, I will be able to have more self control and just check them periodically.

Will have to look into this more...

Thank you!

What a great idea.......

This is great! At first when I saw you suggest this on Amanda's blog I thought I wouldn't want to file them away - I would never have time to go back and look but now that you explain in this way, it's manageable. Thanks again. I'm gonna give it a try.

Thanks for sharing Miguel, very useful hint cause sometimes I can't see the wood for the trees with all those mails ;-) Keep on posting! Desmond

I like the way you THINK! SWEET! morning Nugget!!!!!!

What great organizational and creative skills exist here at WA! You have devised a great system, congratulations and thank your for sharing it!

Hi Russ,

Thank you for your kind words, i find that this method has worked great for me, I also use something similar in the workplace where I have to deal with large volumes of emails.
