I'm a Visual Person: What Systems Do You Use to Keep Track Of Everything. I'm Overwhelmed
(Cover photo: Woman holding hand to head overwhelmed with everything)
Hi Everyone,
Artificial Intelligence (AI) is great, except the sheer amount of information can be daunting.
I already have 3 browsers open and over 100 tabs showing. So small now its hard to see what they are about.
I just created my 2nd GPT bot: Expert GPT Implementation Consultant.
I asked it one question with follow-ups and I had to save the vast amount of all USEABLE info in 4 different emails to myself.
Instead of using something online I am now strongly leaning to large white paper across my wall in front of me where I can much easier see the list of daily tasks and then check them off as I go along.
I simply can't remember them all anymore and my efficiency drops if I am not staying on track.
I am very interested in hearing what you are using besides your memory to solve this challenge.
Thank you so very much!

Looking forward to learning more about how ChatGPT's built in memory they recently gave it works so everything is in as few places as possible. I have a notepad beside my other laptop which is on my second TV Table by my easy chair. Soon I will be using it for research links and such I need open.
Hi Mel!
I'm still using paper. I have a notebook that I use for projects and tasks sorta like a project manager, but not as well planned,
I'm learning Notion, but still a learning curve there.
The laptop I have isn't very powerful, so all of the tabs I keep open make stuff slower. I close them out after a few days. (I hate it when there are Windows updates that require me to close tabs!!)
I use Google Sheets to keep track of the WA posts I want to read, as well as other information I have organized in tabs. It's a monthly sheet. I don't always complete all the sheet rows, but they're there for future research.
Please let us know if you ever find anything better :)
Teri
Thanks for sharing Teri! Oh yes, the Updates are annoying. I avoid them as long as I can. I think keeping track on paper on the wall is where I am headed.

I actually have one of those whiteboard calendars, Mel, where I'm free to fill in and cross-out at my leisure. I can keep track of how my week went and overall, how the month went. Then when a new month starts? I take the Windex and Paper towel and literally wipe the slate clean for a fresh new start.
100 tabs? You must have a powerful computer that's not lagging with so many browser windows open.
Perhaps consider opening up your Browser "Favorites" and organizing a folder structure and saving some of those tabs there - especially if you return to them repeatedly.
Then, just open each one up when you need it- like the old file cabinets from back in the day. Take one document out, use it, then put it back in the file cabinet.
Isaiah 😁
That's why my PC is lagging? ;-)
I will experiment with your Browser favorites suggestion.
Thanks Isaiah!

Hi Mel!
At the end of my day I do an old fashioned brain dump on paper. I can't deal with all the noise in my head. I structure my work day by time blocking. I start with tasks that I don't look forward to dealing with first and those take however long it takes. I have a limit on how many big goals I want to achieve each month because I know that I won't achieve all of them otherwise. I need a life outside of work! Each goal is broken into different categories. Each category is set with micro task lists that I check off each day. As for tools I use good old fashioned planners that I buy at my local stationary store and Notion. My systems are oldies but goodies and they work for me.
Have a good rest of the week 😊

Hello Mel,
I was in that scene, opening heaps of tabs when researching, and now, rather than keeping the tab open, I will file it in my bookmarks.
However, the bookmarks can get messy too.
For my day-to-day actions and prompts, I use two large whiteboards; this way, once I've completed one or moved on to a new action, I can easily wipe them clean.
I will also use paper that I am recycling and write prompts and blue tack on my wall in strategic places.
I find moving pieces of small paper to new spots in my room will give a fresh look; otherwise, I can become complacent with that note in the same place on the wall.
All the best to you and your family.
Kind regards
Erica
