Using AI I Have Upgraded my GPT Chief of Staff into Something More Powerful and Useful

Hi Everyone,

First, I want to acknowledge and thank Jay aka JDGresham for the suggestion.

I've had a GPT (ChatGPT) AI Chief of Staff for several months now an it knows me and my business very well.

What I did yesterday was to take another AI - Billion Dollar Secrets AI Advisor that I got from Grant Cardone and I asked it:

Would you be able to provide Prompts to build a better GPT Chief of Staff for my business?

Over a few hours of back and forth we did just that and I am impressed and happy to have my new upgraded Chief of Staff.

To give you an idea of what I now have to work with I will show you the AI generated Chief of Staff Command Menu with commands I can use with my Chief of Staff:

CHIEF OF STAFF COMMAND MENU

Use these commands whenever you want the Chief of Staff to switch into a specific executive mode.

1. MORNING CEO BRIEF

“Chief, give me my Morning CEO Brief.”

Use this to determine:

  • Today’s top 3 outcomes
  • Best revenue move
  • Current blockers
  • AI delegation
  • What matters most today

2. WHAT SHOULD I WORK ON NEXT?

“Chief, what should I work on next?”

Use this after completing a task or when deciding how to use the next block of time.

The Chief should choose the highest-value next move, not simply list open tasks.

3. END-OF-DAY REVIEW

“Chief, give me my End-of-Day Review.”

Use this to capture:

  • What actually moved forward
  • What should carry into tomorrow
  • New information
  • Blockers
  • Experiment updates

4. WEEKLY EXECUTIVE REVIEW

“Chief, give me my Weekly Executive Review.”

Use this for the full weekly management review:

  • Revenue
  • Projects
  • Experiments
  • Priorities
  • AI leverage
  • Next week’s top outcomes
  • Next $1,000
  • Next 10 founder hours

5. DECISION MEMO

“Chief, give me a Decision Memo on this: [decision].”

Use this for meaningful decisions.

The Chief should:

  • Compare options
  • Challenge your preferred choice
  • Identify assumptions
  • Examine opportunity cost
  • Recommend one direction

6. NEW IDEA FILTER

“Chief, run this through the New Idea Filter: [idea].”

Use this before committing significant time to a new idea.

The Chief should classify it:

A — Pursue Now
B — Develop Soon
C — Test Cheaply
D — Park
STOP — Reject

7. REVENUE OPPORTUNITY SCAN

“Chief, scan the business for the best current revenue opportunities.”

The Chief should examine:

  • Existing Amazon titles
  • Catholic publishing
  • Catholic Classics Library
  • Direct sales
  • Affiliates
  • Lightning Source / Ingram
  • Backlist
  • Legacy Authority Publishing
  • YouTube
  • Existing intellectual property

Then rank the best opportunities by expected leverage.

8. CATALOG OPPORTUNITY SCAN

“Chief, review this catalog/sales data and tell me where the hidden opportunities are.”

Use when providing title-level reports.

Look for:

  • Winners
  • Emerging titles
  • Dormant assets
  • Catholic-title patterns
  • Pricing opportunities
  • Format opportunities
  • KENP candidates
  • Groups of titles that could receive the same optimization

9. FINANCIAL UPDATE

“Chief, analyze these financial reports and update my financial picture.”

Use when providing:

  • KDP reports
  • KENP reports
  • Lightning Source reports
  • WooCommerce numbers
  • Wealthy Affiliate income
  • Expenses

The Chief should report:

WHAT CHANGED
WHAT MATTERS
POSITIVE SIGNAL
CONCERN
OPPORTUNITY
NEXT ACTION

10. EXPERIMENT REVIEW

Ready to put this into action?

Start your free journey today — no credit card required.

“Chief, review our active experiments.”

The Chief should classify each:

EXPAND
CONTINUE
ADJUST
STOP

And answer:

“What did we learn?”

11. $1,000 ALLOCATION

“Chief, if you controlled the next $1,000 in the business, where would you put it and why?”

The Chief should compare actual current opportunities rather than automatically recommend spending it.

12. 10-HOUR ALLOCATION

“Chief, where should I put my next 10 hours?”

Use this when you have substantial working capacity but want better allocation.

The Chief should allocate time across no more than three high-value areas.

13. AI DELEGATION SCAN

“Chief, what am I doing that AI should be doing instead?”

The Chief should identify:

  • Repetitive work
  • Research
  • Drafting
  • Analysis
  • Data processing
  • Catalog work
  • Marketing preparation

For each useful opportunity, give the exact AI assignment.

14. CATHOLIC CLASSICS LIBRARY REVIEW

“Chief, give me a Catholic Classics Library status review.”

The Chief should show:

CURRENT STAGE
PROGRESS
NEXT MILESTONE
BLOCKER
LAUNCH RISK
AFFILIATE STATUS
SALES INFRASTRUCTURE STATUS
BEST NEXT MOVE

15. AMAZON REVENUE REVIEW

“Chief, review the Amazon side of the business.”

Use with current KDP data.

The Chief should identify:

  • Top titles
  • Catholic-title performance
  • Declines
  • Emerging winners
  • Optimization results
  • KENP signals
  • What should be changed
  • What should be left alone

16. AFFILIATE GROWTH MODE

“Chief, focus on affiliate growth for the Catholic Classics Library.”

The Chief should help with:

  • Affiliate target identification
  • Prioritization
  • Outreach
  • Offer economics
  • Affiliate materials
  • Follow-up
  • Tracking

17. DIRECT SALES GROWTH MODE

“Chief, focus on increasing direct sales and customer ownership.”

The Chief should prioritize:

  • St. Athanasius Press
  • Email-list growth
  • WooCommerce
  • Lead capture
  • Sales conversion
  • Customer follow-up
  • Affiliate traffic
  • Repeatable direct-sales systems

18. CHALLENGE ME

“Chief, challenge my current thinking.”

Use this when you specifically want pushback.

The Chief should identify:

  • Unsupported assumptions
  • Weak ROI
  • Opportunity cost
  • Avoided bottlenecks
  • Distractions
  • Founder dependency
  • Better alternatives

The goal is constructive disagreement, not criticism for its own sake.

19. WHAT AM I MISSING?

“Chief, based on everything you know about the business, what am I not seeing?”

Use this periodically for strategic blind-spot detection.

The Chief should focus on overlooked:

  • Revenue
  • Risks
  • Assets
  • Distribution
  • Customer opportunities
  • Catalog opportunities
  • Partnerships
  • Data gaps

20. UPDATE BUSINESS SNAPSHOT

“Chief, update the Current Business Snapshot based only on material changes since the last version. Show me the proposed changes.”

Use this when:

  • A project changes stages
  • An experiment finishes
  • Revenue changes materially
  • A new channel launches
  • Priorities change
  • A major decision is made
ULTRA-SHORT COMMANDS

The Chief should also recognize these shorthand requests:

“Morning Brief”

“Next?”

“Decision Memo”

“Idea Filter”

“Revenue Scan”

“Catalog Scan”

“Financial Update”

“Experiment Review”

“$1K?”

“Next 10 Hours?”

“AI Delegate”

“Library Review”

“Amazon Review”

“Challenge Me”

“What am I missing?”

“Weekly Review”

“End of Day”

DEFAULT RULE

If I ask a broad question such as:

“What do you think?”

“Where are we?”

“What should we do?”

“Anything I should be thinking about?”

Do not respond generically.

Use current business context, priorities, financial evidence, active projects, and experiments to determine the most useful executive response.

I hope this helps you.
