The Value of a File Naming System for ChatGPT Downloads (And How to Set One Up)

Structure is good
First, I must confess I use ChatGPT outside WA to help create many of my blog posts and then edit and finalize them within WAs WordPress editor ChatGPT is often more flexible outside WAs Ai content creator and I can create and modify my images a lot easier
If you use ChatGPT as much as I do, you probably download a LOT of files.
- Text files.
- Images.
- PDFs.
- Logos.
- Infographics.
- Pinterest pins
And if you don’t have a system?
It turns into chaos really fast
Today I want to share something simple that has saved me time, stress, and frustration
👉 A consistent file naming system for everything I download from ChatGPT.
This is especially helpful if you’re
- Blogging regularly
- Creating images and PDFs
- Managing multiple websites
- Using Dropbox or Windows folders in a desktop or laptop
- Repurposing content across platforms
Let’s break this down.
Why You NEED a File Naming System
When you download files from ChatGPT, they often come with generic names like:
- image.png
- document.pdf
- Untitled.txt
- Weird number. Tx or png
Now imagine doing that for months.
You’ll eventually end up with:
- image (1).png
- image (2).png
- e0653fd.png
- image FINAL FINAL.png 😅
And then you can’t find anything Unless you open each file to check
A file naming system does three powerful things:
- Keeps all assets for one blog post grouped together
- Makes searching easy
- Prevents duplicate or overwritten files
- Speeds up your publishing workflow
It’s a small habit that creates big efficiency.
My Simple File Naming System
All my ChatGPT downloads go into ONE folder.
For me, that’s either:
- My Windows Downloads folder
- Or a specific Dropbox folder I’ve created on my har drive that is backed up online.
Everything starts in one central place.
From there, I use this structure:
Base Format:
Title–type.extension
The title is always the blog post title (shortened if needed), followed by a hyphen and the file type.
Here’s How I Name Each File Type
1. Blog Content Text File
These are plain .txt files I copy into WordPress and format inside the WordPress editor
Example:
- tea-meditation.txt
- herbal-detox-benefits.txt
I keep them simple.
2. Blog Header Images
If it’s a blog header image:
Title-blogheader.jpg
Example:
- tea-meditation-blogheader.jpg
- natural-remedies-blogheader.jpg
Standard Header Size:
- 300x250 px
- 72 resolution (for web use)

This keeps my blog images consistent and optimized for speed.
3. Logos
If it’s a logo:
Title-logo.png
Example:
- herbalism-logo.png
- tea-site-logo.png
Standard Logo Size:
- 1260x250 px
- 72 resolution
Large enough to look crisp, optimized for web.
4. Infographic:
If it’s an infographic:
Title-infographic.png
Example:
- blood-sugar-teas-infographic.png
These are web-optimized unless I plan to print them.
5. Pinterest Images
For Pinterest:
Title-pin.png
Example:
- calming-teas-pin.png
Keeping the word “pin” in the file name makes it easy to find all Pinterest graphics later.
6. PDFs
If it’s a downloadable:
Title.pdf
Example:
- affiliate-marketing-guide.pdf
Important:
PDFs should be higher resolution so they can be printed.
Unlike web images (72 dpi), printable PDFs should be:
- 300 dpi
- Proper page sizing (8.5x11, 6x9, etc.)
This ensures professional quality if someone prints your content.
Why This System Works So Well
Because every asset for one blog post starts with the same title then if it’s txt, header, logo, info graphic and then file extension
Example for one post:
- herbal-teas-for-stress.txt
- herbal-teas-for-stress-blogheader.jpg
- Herbal-teas-for-stress-image1.png
- herbal-teas-for-stress-infographic.png
- herbal-teas-for-stress-pin.png
- herbal-teas-for-stress.pdf
Everything stays grouped alphabetically in your folder.
No searching.
No confusion.
No wasted time.
Note: when I’ve create and downloaded all my blog files to my download folder I login to my Wordpress blogsite and create a new blank post Then I copy the txt from the blog.txt file into the WP editor and format the post in the editor I also insert the usages into the post
Bonus Tip: Keep It Simple
Don’t overcomplicate it.
After the post is published I go into my windows explorer file structure and move the files for that specific blog into a directory specific for that web site
You don’t need:
- 15 folders inside folders
- Weird naming codes
- Dates in every file (unless you want them)
Just:
Title + hyphen + file type +ext
Consistency is more important than complexity

- Running multiple domains
