Why Building Systems Changed the Way I Think About Business

For years, I approached my work one task at a time.

Write an article.
Publish a book.
Answer an email.
Create a video.
Update a website.

Each task got done, but I often felt like I was running in circles. No matter how hard I worked, tomorrow's workload looked very much like today's. Recently, I realized I had been focusing on completing work instead of improving the way the work gets done.

That's when I began thinking in terms of systems.

A Task Ends. A System Keeps Working.

Suppose you write one article. Great.

Now you need another article. And another.

Instead, imagine creating a writing system.

• A checklist.
• A standard operating procedure (SOP).
• Templates.
• AI prompts.
• A publishing workflow.

Now every article becomes easier than the last. The first approach produces one result. The second produces hundreds.

Your Future Self Is Your Most Important Employee

One idea that has really changed my thinking is this:

Every system I build today is a gift to my future self. A simple checklist may save five minutes. A better workflow may save an hour. A documented process may save days over the course of a year.

Those savings compound.

The same is true whether you're building affiliate websites, publishing books, running YouTube channels, or operating any online business.

AI Doesn't Replace Systems—It Multiplies Them

Artificial intelligence has been an incredible tool for me.

But AI by itself doesn't create an organized business. A messy business with AI is still messy. A well-designed system with AI becomes dramatically more productive.

I've found that the greatest value comes from combining the two:

• clear processes,
• documented workflows,
• and AI assisting within those workflows.

That combination allows me to accomplish work that once would have taken months or even years.

SOPs Aren't Just for Large Companies

When I served in the U.S. Marine Corps, we had shelves full of Standard Operating Procedures.

At the time, I thought of them as military paperwork. Now I understand why they existed. They weren't there because people were forgetful. They were there because consistency creates results.

As entrepreneurs, we should think the same way.

Every repetitive task deserves an SOP.

With 1700+ titles published, I can no longer keep up with what I have been doing. Claude Max has found thousands of niche public domain titles I can reprint.

We have looked at my Lifetime Bestsellers on Amazon. We have looked at my Bestsellers from Jan 1, 2025 until today. I have looked at what titles need to be optimized: Better covers, description, keywords, change pricing...etc.

Its no longer enough to just add more titles.

I need to be strategic about it. I need to utilize AI as much as possible and I need Systems to do that properly.

Even I forget how I had done something months ago. An SOP would spell it out right now. If something happens to me, We can go right to the SOP and know what and how to do something. I can point AI to an SOP and its brought up to speed on what I am doing.

Its going to take me some time to put this all into place, but its also going to make me more productive and the income will follow.

AI can assist you with all of this. It has more than paid for itself with me. I am honestly years ahead in many areas now from where I would have been trying to do this all by myself.

I use ChatGPT Plus ($20 mo.) and I created a GPT Commander in Chief that knows my businesses well and helps me plan strategies going forward.

I have been using Claude Max ($100 mo.) and still at times I max out the credits and have to wait for them to refresh.

I expect by the end of this year AI will advance beyond where it is today and that will accelerate my businesses even more.

Don't be afraid of AI. It is a powerful tool
