Heading for A Short Post Record!

Each year I help my wife to compile her spending records for her midwifery business. It's not fun but an essential evil in my humble opinion.

Two Simple Systems

The first is a spread sheet on a computer saved to a local drive, a back-up drive and cloud storage.

Number two is a printed version that's printed once each month.

Receipts are numbered consecutively as they come in and filed in a loose-leaf folder once the details have been added to the accounts file.

I do the same for my own businesses.

Different Territories, Different Rules

The rules about taxation and record keeping will naturally vary depending on where you are but one thing that is essential is keeping records of income and expenditure and keeping those records safe.

Here in France, the tax office can demand copies of accounts going back several years and if we are unable to supply them, only we are to blame - No excuses.

But I'm not making any money!

Still the accounts have to be kept even if not enough money is being earned to pay tax. And, you will be earning enough at some point.

Overkill?

Are our "Two Simple Systems" with four "save to" locations too much? Well, try convincing me that they are too much after what happened an hour ago. The spreadsheet I was finalizing for 2019 magically cleared all the data . . . OK, I must've done something stupid. The point is, I had the data in three other locations and I lost an hours work rather than the entire year that I would have lost without the back-up system.

Writing great content is a crucial part of our business; keeping accurate records is another.

It's on my 'to do' list, honest.
Seriously though, if we're working more and more online, then it is prudent to use some form of 'back-up'
The last four years of 'records' working on the cars has all been done by hand, so I have a permanent record there.
Moving forward I will have to move with the times.

Get a free dropbox account and tell it to save content from specific folders only. That works. Get another account with a different email address to save photos, or music, etc. Free is limited but using different emails gives you more. There are other free services too. They take some of the heat out and once setup it's all on auto-pilot. S

Well said Steve. Fortunately I haven't lost any important record keeping or information lately, but in college I remember loosing a major paper that took me days to write because I didn't back it up in multiple locations. Luckily I kept good notes and was able to mostly recreate my "original thought" and hand it in on time. I now have back ups for my back ups.
